About the Role
We’re seeking a detail-oriented Administrative Assistant to support a busy division with a variety of administrative and office management tasks. This role is perfect for someone who thrives in a fast-paced environment, enjoys organization, and has a professional, proactive approach to their work.
Key Responsibilities
Administrative Support (60–80%)

Prepare letters, memos, and reports from handwritten notes, dictation, or drafts

Format documents and ensure accuracy in grammar and spelling

Create presentation slides as needed

Compose basic correspondence and memos

Respond to routine inquiries and research information as appropriate

Schedule small-group meetings, coordinating calendars, room bookings, and equipment

Perform general office tasks: filing, photocopying (including two-sided and multi-page jobs), answering phones, sorting/distributing mail, and managing faxes

Greet and assist guests/visitors in a professional manner

Provide backup support for other administrative staff, including phone coverage and vacation/sick leave coverage

Assist with occasional special projects as needed
Office/Division Administration (20–40%)

Update internal HR-related information (e.g., name, address, or phone number changes)

Maintain attendance records (vacation, sick, comp time) and distribute pay statements

Manage and update manuals and confidential departmental files

Coordinate facility issues (lighting, HVAC, restrooms, furniture) with Building Services

Track important dates/meetings and assist with disbursement requests and seminar registrations
Requirements

Minimum of 1 year of administrative experience

Typing speed of at least 35 WPM

Proficient in Microsoft Word

Strong grammar, spelling, and proofreading skills

Proven ability to manage multiple priorities and meet deadlines

Ability to handle confidential materials with discretion

Professionalism, tact, and strong interpersonal skills

Self-motivated and able to work independently
