Job Title: Administrative Assistant
Location: Milwaukee, WI
Type: Hybrid (3 days onsite per week)
Duration: ASAP – December 31, 2025 (possibility of extension)

About the Role

We’re seeking a detail-oriented Administrative Assistant to support a busy division with a variety of administrative and office management tasks. This role is perfect for someone who thrives in a fast-paced environment, enjoys organization, and has a professional, proactive approach to their work.

Key Responsibilities

Administrative Support (60–80%)

  • Prepare letters, memos, and reports from handwritten notes, dictation, or drafts

  • Format documents and ensure accuracy in grammar and spelling

  • Create presentation slides as needed

  • Compose basic correspondence and memos

  • Respond to routine inquiries and research information as appropriate

  • Schedule small-group meetings, coordinating calendars, room bookings, and equipment

  • Perform general office tasks: filing, photocopying (including two-sided and multi-page jobs), answering phones, sorting/distributing mail, and managing faxes

  • Greet and assist guests/visitors in a professional manner

  • Provide backup support for other administrative staff, including phone coverage and vacation/sick leave coverage

  • Assist with occasional special projects as needed

Office/Division Administration (20–40%)

  • Update internal HR-related information (e.g., name, address, or phone number changes)

  • Maintain attendance records (vacation, sick, comp time) and distribute pay statements

  • Manage and update manuals and confidential departmental files

  • Coordinate facility issues (lighting, HVAC, restrooms, furniture) with Building Services

  • Track important dates/meetings and assist with disbursement requests and seminar registrations

Requirements

  • Minimum of 1 year of administrative experience

  • Typing speed of at least 35 WPM

  • Proficient in Microsoft Word

  • Strong grammar, spelling, and proofreading skills

  • Proven ability to manage multiple priorities and meet deadlines

  • Ability to handle confidential materials with discretion

  • Professionalism, tact, and strong interpersonal skills

  • Self-motivated and able to work independently

Preferred Skills

  • Familiarity with business or organizational environments

  • Strong collaboration and communication skills

  • Experience with calendar management and scheduling

  • High level of organization and attention to detail
